Glossary of terms

GENERAL

Events

  • Event Group - a collection of the same events which recur on a regular basis.
  • Event - A specific instance of an AWARDS, CONFERENCE or EXHIBITION
    • E.g. 
    • My Annual Awards <- Event group
    •     My Awards 2016 <- Event
    •     My Awards 2017

Dates

Date are important in Evessio and will control the availability of the items they govern

  • Event date - the actual date when the event takes place
  • Publish date - the dat the event site was "made live" or published
  • Product dates
    • these have open and close values
    • Products will be unavailable outside of these dates
    • Judging dates determine when judges can view entries which have been assigned to them.

URL

the web address where the event will be hosted e.g. http://myevent.com/

Toolbar buttons

  • Preview - open the event site in preview mode
  • Test Mode - open the event site 'as published' but allow login and transaction testing for events not yet published
  • View Live - If the event has been published view via the live URL

WEBSITE

Templates

  • define the structure for pages in 3 sections: Header, Body and Footer.
  • Multiple templates can be created
  • Pages can use of of the templates already created
  • Private part template - this will be used for pages in the checkout and other 'logged in' pages

Pages

what visitors to the website will see. Pages can be created an even published but until they are linked to from another page or a menu, they will not be visible

Menus

these provide access to pages. Once pages have been created, add a menus then links on the menu to allow visitors to click through to the linked pages.

  • Menus can have up to 3 levels of nesting

Content

Evessio makes use of structured content known as "Content Types" - these make the presentation of content consistent and re-usable.

  • Content Type - something like a "Schedule" or "Collaborator" or "News Item List" are all content type. Each has a set of data fields and possibly display options
  • Lists - content can often be represented by individual items as well as lists
    • A list is just a collection of items
    • e.g. "Collaborator List" is a collection of e.g speaker items
    • Lists are powerful in that once a list is inserted into a page (or pages), updating the list updates all of the locations where it was inserted
  • Items - Individual items can also be created an inserted directly into pages. E.g. The "General content" item is widely used to add paragraphs of text and images
  • Content Nodes - some list types generate 'nodes' e.g. New Item List. 
    • This means that once the list is created, all items on it have their own dynamically accessible 'nodes'
    • Each node has its own permalink
    • The benefit is that there is no need to create separate pages for the 'detail' view of items
    • Types which generate nodes are: 
      • Exhibitor List
      • News Story List
      • Collaborator List
      • Sponsor List
      • Testimonial List

Forms

Forms collect data from users and could be placed on a web page or be part of the product/transaction process

  • System forms - these are used by product items and determine which fields a user must fill out when e.g. booking a table  (name, dietary requirements). They are slo used for Personal and Invoice data in the checkout process.
  • Web forms - these are placed on pages and simply collect data e.g. an "Intention to enter" form for next year's event

Email templates - these govern the structure and 'look and feel' of communications with users and collaborators

Media - all images or documents uploaded to content types can be accessed here.

Themes

  • Themes define the look and feel of the website
  • Theme settings can be used to customise the site icon, colours, fonts or even detailed CSS configurations
  • Once a site is published, the theme version is locked

REVENUE

Products

Products can be free or paid and represent items for which the user should supply information for. Standard products include:

  • Product Type - this is a collection of items of the same type
    • Awards Nomination - entries for Awards events for which users must complete entry forms
    • Table Booking - Individual seats or whole tables where fields can be defined e.g Name, email, dietary requirements, etc
    • Event Attendance - individual or groups 'tickets' to attend events
  • Product Items
    • Items e.g. "Table of 10" or "Single Seat" are product items which belong to the "Table Booking" product type

Discounts

  • Date based discounts - apply a given value or % based discount between the dates provided
  • Volume discounts - apply when certain 'volumes' of items are selected by the user e.g. 10% if 3 or more items are selected
  • Vouchers
    • Voucher apply discounts to either an entire basket of items or to product types or items
    • Vouchers are redeemed at checkout via their code
    • The number of activations availability period can be set

Excluded Countries - an exclusion list can be built. All countries on tis list will be excluded from selection in the country 'dropdown' lists during checkout

Transaction prefix 

  • This is a string of letters and number which will be used for all transactions in a given event e.g. EVENT2017
  • All transaction numbers are zero padded 5 digit numbers which are appended to the prefix e.g. 00001
  • Transactions which get modified receive a transaction suffix which is appended to the transaction ID and is incremented by 1 letter for each modification A-Z e.g. EVENT201700023C

Payment Providers

  • these are gateway services which facilitate credit card payments
  • Evessio stores no credit card information at all - all card interactions are handled via the gateway

Transaction Templates - define the PDF 'paperwork' structures e.g. the "Invoice"

VAT

  • VAT can be define at the product item level, event level or organisations level
  • VAT zones can be created which govern how VAT should be charged based on the customer's country
