Shortlists

Shortlists are used to publish nominations on the event website

There are 3 types of shortlist:

  • Shortlist - entries which have been selected for the final round of judging
  • Winners - the list of final winners
  • Voting - entries which are made available for a public vote

Note

The "Shortlist" type can also be used to show winners but a "Winners" list type can only show winners

Assign nominations

Nominations must first be designated according to the type of list they should appear on. This is done via AWARDS > Judging > Round> Nominations.

Entries in each category which have their corresponding checkboxes selected or winner class assigned will become available to the shortlist creator.

  • Be sure to refresh nominations they they change. Any edits to the existing entries will be preserved
  • Note: The submitted nomination data can be edited for the purposes of the published lists - this does not change the original entry but, once edited, the original entry data cannot be re-synced.
  • If you do need to 'reset' a nomination you can remove it by unsetting it as Voting/Shortlist/Winner, syncing nominations, re-adding it and re-syncing.

The Shortlist Type

This is a versatile list which can initially show shortlisted entries and then optionally be updated later to highlight the winners.

Note:

If using the "Highlight winners" option make sure you do not inadvertently publicise the winners before official announcements. It may be easier and safer to rather create a separate winners list.

The Winners Type

Winner lists will only sync entries marked as 'winner' or using one of the customer winner  classes if you have configured them.

The Voting type

In order for voting to work it must first be configured via AWARDS > Judging> Round> Shortlist> Voting

Voting Options: AWARDS > Settings

  • Active / Disabled - this checkbox will disable or enable the voting function on published voting lists
  • Accessible to
    • All users - anyone can vote
    • Registered users - users must first create an account in order to be able to vote
  • Voting Rule
    • 1 vote per nomination - Voters may vote for multiple nominations in each category
    • 1 vote per category - Voters may only cast 1 vote in each category
    • 1 vote per event - Voters may only vote for a single nomination across all categories
  • Form - (optional) a customisable form can be selected to collect information from voters
  • Dates - open and closing dates will dynamically control the voting period

In the list setup there is the option to set the text for the vote button

Configuring fields to be included in the lists

  • Data from the submitted nominations can be included directly using the "+ Add fields" button

  • You will then be presented with a list of all questions - checking a box for a question will add it to the selected fields list on the right
  • Section headings and fields from the nomination name are not selectable

There are several options for how the fields are displayed:

  • Show/Hide - fields placed in this group will initially be hidden from view and can be seen by clicking the "Show more" link for each entry. The technique can be used to keep the lists more compact while still retaining more detail should viewers be interested in further detail.
  • Ordering - fields can be dragged into the preferred order
  • Renaming - the question names can be changed or even blanked out if required
  • Description / Other - these fields can be added to manually include information not in the submissions
  • Use Images - If this option is activated, you can manually add a single image for each entry. **This option is only required if you wish to add images not already present in the submitted nomination data.
