Transactions: Credit notes and new invoices
The "paperwork" generated by Evessio in the event of modifying a transaction to increase or decrease is dependent on your account settings. There are two options:
Create partial credit notes only for adjusted amounts
If you decrease the value of the transaction Evessio will generate a credit note for the amount decreased.
If you increase the value of the transaction Evessio will generate a credit note for the full amount as well as an invoice for the new, increased amount.
Create full credit notes with new invoices for adjustments
If you decrease the value of the transaction Evessio will generate a credit note for the full amount of the transaction and generate an invoice for the new amount.
If you increase the value of the transaction Evessio will generate a credit note for the full amount as well as an invoice for the new, increased amount.
When new 'paperwork' is triggered the Transaction ID will have a letter appended and incremented with each change e.g. EVNT201900120, EVNT201900120A, EVNT201900120B.
To view and change the Credit note behaviour settings:
Hover over your name on the top, right hand corner of the screen and click on "Events HQ".
Click on "Settings", followed by "Payments" and click the "Edit" button. You can then select the settings you wish and Save.
How to send a credit note or new invoice
Whilst Evessio generates new "paperwork" when most modifications are made it does not automatically send it. There are several ways to send the "paperwork":
"Send credit note" checkbox in the modify transactions screen when saving.
ACTION > "Send Latest Credit Note". This option doesn't generate a new invoice or credit note. It will only send the last generated version.
ACTION > "Cancel + Notify". Ensure you are happy to delete the transaction and associated tickets/guests/nominations before using this option.
All "paperwork" associated with the transaction is also available to download in the transaction History.
If you need to force the generation of a new invoice you you can do so by making a "fake" change to the Invoice Details:
In the transaction click "ACTIONS", followed by "Edit Invoice Details".
Then make a "Fake" change to the invoice details. For example type an X into one of the fields and delete it. This will activate the "Save" button at the bottom of the window.
- The new invoice will be generated and can be sent using the options above.
