Mailshots
Mailshots allow you to communicate with people from your event by sending custom emails to a preferred list of your event users and collaborators.
๐บFor a video tutorial on how to use the mailshots feature, click here.
To access the mailshots feature, go to Event > Mailshots.
Writing your mailshot
To create a new mailshot, click on the green +New Mailshot button.
If you have already created a mailshot, you can choose to Replicate a previously built mailshot.
In the first step, provide a mailshot name that will be used internally, and a subject line that will be seen by all recipients.
You will see the From address that this mailshot will come from.
If the From address is noreply@evessio.com, you will also be required to add a Reply-to address. If this address is already customised, the Reply-to field is optional.
Then, create your mailshot.
You can fully customise your message, adding images, links, and formatting.
To personalise your message, click on [Variables] on the right side of the screen, and add in content that will be filled in once the message is sent, e.g. {{USER_FIRST_NAME}} will populate with the name of the person who receives the mailshot.
Tip ๐ก
If you prefer to write the mailshot in HTML, you can select the Source Editor button on the right side of the screen to insert any code. To return, click on Visual Editor.
When you are happy with your message, click Save to save your progress. Once saved, you can also send a test message. When you are ready, click Continue to move to the next step.
Defining the mailshot recipients
To define who will receive your mailshot, you will need to choose a list of recipients.
If you choose Select from existing list, you will be presented with the already-created lists within your event to select and use.
Warning โ
Lists that are in use by either draft or scheduled mailshots cannot be amended until the mailshot is either sent or unscheduled. If you want to change the configuration of a list already in use, you can clone the list.
If you choose to build a new list, provide a name and description for your list to continue to its configuration.
To begin configuring your list, choose which event(s) from within your event group your recipients will be retrieved from.
Note ๐๏ธ
Only one email will be sent per user, even if a user exists in more than one of your selected events.
Next, your list will contain two sub-lists: a dynamic list and a static list that will enable you to control which users will receive your mailshot.
Dynamic list
Your mailshot's dynamic list is created using filters, and indicates the users from your chosen event(s) who meet the filter conditions at this time.
Note ๐๏ธ
To learn more about creating filters for your mailshots, click here.
Once you select a filter to use, click on the blue Refresh Recipients list button on the right of the screen. Your dynamic list will now show all users who have met the criteria of your chosen filter, and you will see a total user count in the blue bar.
If you want to add any of the users that appear to your static list, you can do so by moving the user. In the column labelled Move to static list as, choose either included or excluded. The listed user will instantly be removed from your dynamic list, and be moved to your chosen section in your static list.
Static list
The static list is made up of two sections:
- Always excluded users
- Adding users here enables you to exclude those who have met the filter criteria, but you do not want to make the final recipient list.
- Always included users
- Adding users here enables you to include users from your event to your mailshot recipients, even if they do not meet the criteria of your selected filter.
To add users to either of these sections, click on +Add User.
In the pop up, select the users that you wish to your Always Included users by clicking on Included. To add users to your Always excluded users section, click on Excluded.
When you have completed your selection, click Save.
Note ๐๏ธ
Removing users from your static list who meet your filter criteria will be automatically moved to your dynamic list.
When you are happy with the configuration of your list, select Continue.
Sending your mailshot
In the Review page, you can see the setup and configurations you have chosen for your mailshot.
On the left side of the page, you can review the subject and reply-to address, and the event(s) from which the recipients have been selected.
You can review the name of the filter being used, and the number of recipients on both your dynamic and static lists.
On the right side of the page, you can see a preview of the mailshot that is being sent to your recipients.
When you are ready to send your mailshot, click Send now.
If you want to send at a later date, you can schedule the mailshot to be sent at a chosen date and time.
